Benefits Customer Service Representative

Position Overview: We are seeking a detail-oriented and customer-focused Entry-Level Benefits Customer Service Representative to join our team. This role involves providing support for a wide range of benefits-related inquiries, as well as assisting with administrative tasks related to benefits and human resources functions. The ideal candidate will have strong communication skills, a customer-first mindset, and the ability to manage multiple administrative tasks in a fast-paced environment

Key Responsibilities:

  • Respond to inquiries from prospective and current employees regarding benefits programs, eligibility, and enrollment processes, including health insurance, retirement plans, and other employee benefits.
  • Monitors employee leaves of absence (LOA) status; maintains accurate LOA records and status updates; coordinates with internal teams to ensure proper benefit handling during leave and transition back to work; ensures that employee contributions are up-to-date.
  • Assist with the administration of benefits programs, including tracking employee eligibility, ensuring timely benefits processing, and maintaining records of benefits elections.
  • Support the team with benefits communication by preparing reports, notifications, and other correspondence to employees regarding benefits eligibility, status changes, and open enrollment.
  • Responds to employee inquiries and facilitates effective resolutions to employee benefit issues and questions in an accurate and timely manner.
  • Serves as front-line contact for all employee benefit inquiries via phone, email, mail, walk-ins; follows up as necessary to ensure resolution and employee satisfaction.
  • Maintain accurate and up-to-date records for benefits-related activities, including enrollments, status changes, claims, and any other related administrative functions.
  • Ensure compliance with applicable laws and regulations, and assist with the implementation of new benefits-related policies and procedures.
  • Uses benefit carrier sites to look up information as well as make necessary updates.

Minimum Qualifications:

  • A high school diploma and two (2) years of clerical experience. Substitution(s): A certificate of high school equivalence (GED) may be substituted for the required education. College training may be substituted for the required experience on a year-for-year basis (thirty (30) semester/forty-five (45) quarter credit hours equals one (1) year).

Knowledge, Skills, and Abilities:

  • General knowledge of office practices, benefits administration, and human resource functions.
  • Familiarity with payroll systems or human resource information systems (HRIS).
  • Basic understanding of employee benefits programs and policies (health insurance, retirement plans, etc.).
  • Ability to read and interpret benefits-related documents, policies, and regulations.
  • Strong attention to detail and organizational skills to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills with the ability to interact courteously and professionally with employees and vendors.
  • Ability to work independently, take initiative, and contribute to team efforts.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

Preferred Qualifications:

  • Experience working in a customer service role, particularly in benefits or human resources.
  • Knowledge of benefits enrollment processes, leaves of absence, and applicable compliance regulations (e.g., FMLA, HIPAA).
  • Experience with HRIS systems such as Munis, ADP, or similar software.

Job Type: Contract

Pay: $20.00 - $26.00 per hour
